Custom Web Parts

When you save Office XP documents as Web Parts, your ability to publish content quickly and easily to your dashboard site is enhanced dramatically. By using SharePoint Portal Server and Office XP together, you can personalize your dashboard site to provide the content that your users need. With SharePoint Portal Server and Office XP, publishing documents becomes easier. This section demonstrates how to save an Excel PivotTable report as an interactive Web Part for the dashboard site.

Creating a Web Part from Office XP

With SharePoint Portal Server, you can grant individual users the ability to create their own dashboards, which are stored on the computer running SharePoint Portal Server. After you create a personal dashboard, you can create and import Web parts directly from Office XP. For more information about how to create personal dashboards, see Appendix B.

The following procedure explains how to create a Web Part from an existing Excel document. This process can be modified to create Web Parts from other Office XP documents.

To create a Web Part from an existing Excel document:

  1. In Excel, on the File menu, click Open and select the document you want to save as a Web Part.
  2. On the File menu, click Save as Web Page. The Save As dialog box opens.

    You can use the Save as Web Page command on the File menu of any of the Office XP applications.

  3. With an Excel PivotTable report, you have the option of selecting interactivity. In the Save As dialog box, click to select the Add interactivity check box so users can manipulate data in the Web Part.
  4. Click Publish. The Publish as Web Page dialog box opens.
  5. Select the AutoRepublish every time this workbook is saved check box to have Excel update your Web Part each time someone updates the original file.
  6. Under Viewing options, select the Add interactivity with check box to add interactivity. You can choose between PivotTable functionality and Spreadsheet functionality.
  7. After you select the viewing options, click Publish. The Save As dialog box opens again. Browse to the personal dashboard folder by using Web Folders.

    You must be assigned to the role of Coordinator or Author to save content to a personal dashboard folder.

  8. Click the Network Place for the appropriate workspace where the personal dashboard is stored.
  9. Click the Dashboards folder.

    All personal dashboards are stored in the Dashboards folder.

  10. Select the appropriate personal dashboard folder.
  11. Confirm the file name for the Web Part, and then click OK. The Publish as Web Page dialog box opens again.
  12. Click Publish, and the Web File Properties dialog box opens in SharePoint Portal Server. SharePoint Portal Server and Office XP recognize that you are saving the file to a folder that is located on a SharePoint Portal Server workspace and not just an ordinary Web folder for Internet publication. SharePoint Portal Server displays a settings page for the new Web Part.
  13. Type a name and description for the Web Part and indicate its position on the page. After you type this information, click OK.
  14. The new Web Part appears automatically when you refresh the personal dashboard in the Web browser.

By using Office XP, users can quickly and easily share and publish information in a dashboard site by using Web Parts.
