Chapter 2: Managing Documents


Now that you know the basics, it is time to discover how to efficiently navigate among Word documents. In this chapter, you learn how to manage the Word documents you create.

Save Documents

You can save documents so that you can use them at another time in Microsoft Word, or in another format so that you can share them with people who do not use Microsoft Word 2003.

SAVE IN MICROSOFT WORD FORMAT

  1. Click File.

  2. Click Save.

    The Save As dialog box appears.

  3. Type a name for the document here.

    image from book You can click the Save in list image from book to select a location on your computer in which to save the document.

    image from book You can click any of these buttons to navigate quickly to common locations to save documents.

  4. Click Save.

    image from book Word saves the document and displays the name you supplied in the title bar.

What views for files and folders can I select?

When you click image from book, the list of available views appears.

Thumbnails

Displays each file as a miniature picture, with the file name below the file.

Tiles

Displays icons for files in two columns; file names and sizes appear beside each file.

Icons

Displays a Word icon for each file, with the file name below the file.

List

Lists file names.

Details

Lists the file name, size, type, and date and time last modified.

Properties

Lists files on the left; when you select a file, statistics such as the editing time and creation date appear on the right.

Preview

Displays file names on the left; when you select a file, a preview of the document appears on the right.

You also can save documents you create in Microsoft Word in a variety of other formats, such as Word templates, Web pages, or text files.

You also can save documents for use in older versions of Word or in Microsoft Works.

SAVE TO ANOTHER FORMAT

  1. Click File.

  2. Click Save As.

    The Save As dialog box appears.

  3. Type a name for the document.

  4. Click the Save as type image from book.

    Word displays the formats available for the document.

  5. Click to select a format.

  6. Click Save.

    A dialog box may appear.

    image from book You can click Yes or OK to save the document in the selected format.

    Note 

    You may be prompted to install a converter to save the file in the selected format; click Yes or OK to install the converter.

If you have not previously saved the document, the Save As dialog box appears; you can save a Word document or a file in a different format. If you previously saved the document, the Save As dialog box does not appear. Instead, Word simply saves changes you made since the last time you saved.

What is the Web Page, Filtered format?

When you create a Web page in Word, saving it using the other Web formats leaves Microsoft Word tags in the file so that you can continue to edit it as needed in Word. Use the Web Page, Filtered format if you are an experienced Web author who is concerned about the size of Web pages.
