Using the Pen in Slide Show View


The pen feature enables you to annotate the slides—that is, to write on them. If you have a tablet and stylus for computer use, you can use it for the annotation. Otherwise, you can click and drag to create lines and writing (although many people find it awkward to write with the mouse).

Writing with the Pen Tool

  1. Move the mouse. The menu buttons in the bottom-left corner will appear.

  2. Click on the Pen button. A menu will appear.

  3. Click on the type of pen you want. The menu will close and the pointer will change to a colored dot.

    Ballpoint and Felt Tip are two thicknesses of solid ink. Highlighter is semitransparent ink.

  4. Drag on the slide to draw or write your annotations.

  5. Click on the Next button, or press Enter or the right arrow key, to advance to the next slide.

    The pen will stay active when you're moving between slides.

  6. Click on the Pen button. The menu will appear.

  7. Click on Arrow. The mouse pointer will be restored to a normal arrow.

  8. Continue advancing through the presentation to the end, or press Esc to end early. A message will appear, asking whether you want to save your annotations.

    1. Click on Keep. The drawings will be converted to AutoShapes and transferred to the slides. See the next section.

    OR

    1. Click on Discard. The annotations will not be kept.

Working with Saved Annotations

Saved annotations appear as free-form AutoShape drawings on the slides. You can delete them, move them, and so on, just like ordinary AutoShape objects.

  1. Display a slide containing annotations.

  2. Click on the annotation line. It will be selected.

  3. Modify it as desired. You can:

    • Press Delete to delete it.

    • Drag it to a different spot on the slide.

Changing the Pen Color

You can select any color for the pen during the presentation, and you can change it to a different one at any time.

  1. Move the mouse. The buttons in the bottom-left corner of the screen will appear.

  2. Click on the Pen button. A menu will appear.

  3. Point to Ink Color. A submenu will appear.

  4. Click on a color. Future pen usage will be in that color.
