Preparing the Presentation for Another Computer

After you've opened the presentation you want to pack, open the File menu and select Package for CD.

The Package for CD dialog box opens. Type a name for the CD you want to create (maximum 16 characters) in the Name the CD text box.

Click the Add Files button to open the Add dialog box, where you select additional files you need for your presentation linked files are included by default.

Select a file to include, and click Add. PowerPoint returns you to the Package for CD dialog box. Repeat steps 3 and 4 until you've selected all the files you need.

INTRODUCTION

You might need to use someone else's computer to give a presentation. Fortunately, you can create a CD of your presentation and use it to view the presentation from any computer even one that does not have PowerPoint installed. The PowerPoint feature that enables you to do this is called Package for CD.

TIP

CD Options

You'll want to include on the CD any files linked to your presentation, along with the PowerPoint Viewer. Fortunately, these items are included by default. If you don't want to include them on your CD, click the Options button in the Package for CD dialog box and use the Options dialog box that opens to deselect them. Also, always check the Embed Truetype Fonts option; otherwise, the presentation will not look right if the fonts you use aren't on the presentation computer.

When all the files you need appear in the play list, click the Copy to CD button.

If you haven't yet inserted a blank CD into your computer's writable CD drive, PowerPoint prompts you to do so. Insert a blank, writable CD in the drive and click Retry.

PowerPoint displays its progress as it copies the files to CD and notifies you when the process is complete. To copy the files to another CD, click Yes; otherwise, click No.

PowerPoint ultimately returns you to the Package for CD dialog box; click the Close button.

TIP

Altering the Play Order

You can alter the order in which selected files are played by clicking a file in the play order in the Package for CD dialog box and then clicking the up and down arrows on the left side of the dialog box to move the file up or down in the order. To remove a file from the list, click the file and then click the Remove button.

TIP

Copying to a Folder

If you prefer to copy the presentation to a folder (for example, on a network), click the Copy to Folder button in the Package for CD dialog box. This comes in handy if you need to use a different computer to copy the files onto CD.
