Applying Font Formatting


Font formatting is applied to selected characters or, if no characters are selected, to the characters you type at the insertion point after setting formatting options. Here are two examples:

  • To apply a bold font style to text that you have already typed, select the text (Figure 12), then apply the formatting. The appearance of the text changes immediately (Figure 13).

  • To apply a bold font style to text that you have not yet typed, position the insertion point where the text will be typed (Figure 14), apply (or "turn on") the bold formatting, and type the text. The text appears in bold (Figure 15). You must remember, however, to "turn off" bold formatting before you continue to type (Figure 16).

Word offers several methods of applying font formatting:

  • The Font area of the Formatting Palette (Figure 17) enables you to apply font, size, some font styles, and font color formatting.

  • Shortcut keys enable you to apply some font formatting.

  • The Font dialog (Figures 26, 27, and 28) enables you to apply all kinds of font formatting.

Tips

  • In my opinion, it's easier to type text and apply formatting later than to format as you type.

  • I explain how to select text in Chapter 2.


To apply font formatting with the Formatting Palette

Choose the font or size that you want to apply from the Font or Font Size menu (Figures 18 and 19).

Click the Font (Figure 20) or Font Size text box to select its contents.

Enter the name of the font (Figure 21) or the size that you want to apply.

Or

Click the button for the font style you want to apply: Bold, Italic, Underline, Shadow, Superscript, Subscript, Strikethrough, Double Strikethrough, Small Caps, or All Caps.

Or

Click the Font Color button to apply the currently selected color or choose another color from the Font Color menu (Figure 22).

Click the Highlight button to apply the currently selected color or choose another color from the Highlight Color menu (Figure 23).

Tips

  • Font names appear on the Font menu in their typefaces (Figure 18).

  • Recently applied fonts appear at the top of the Font menu (Figure 18).

  • If you enter the name of a font that is not installed on your system, Word warns you (Figure 24). If you use the font anyway, the text appears in the default paragraph font until either the specified font is installed on your system or the document is opened on a system on which the font is installed.

To apply font formatting with shortcut keys

Press the shortcut key combination (Table 1) for the formatting that you want to apply.

Tips

  • The shortcut key to change the font requires that you press the first key combination, enter the name of the font desired, then press . This command activates the Font box on the Formatting Palette (Figure 20).

  • The Reset Character shortcut key () clears all font formatting applied to a selection.


To apply font formatting with the Font dialog

1.

Choose Format > Font (Figure 25) or press .

Click the button for the type of font formatting you want to set:

  • Font (Figure 26) enables you to set basic font formatting options, including font, size, style, color, underline, and effects.

  • Character Spacing (Figure 27) enables you to set font scale, spacing, position, and kerning options.

  • Animation (Figure 28) enables you to set animation options.

3.

Set formatting options as desired.

4.

Repeat steps 2 and 3 for each type of formatting you want to set.

5.

Click OK.

Tip

  • The Preview area of the Font dialog illustrates what text will look like with the selected formatting applied.
