Working with Multiple Calendars


It is often handy to have more than one Calendar. For instance, you might want to maintain one Calendar for yourself, and one for a team project. Or you might want to have separate business and personal calendars. It is easy to create new Calendars.

 New in Office 2003 ”Side-by-side calendars    With Outlook 2003, you can view several Calendars at the same time, and move or copy appointments and events between them. When you view and scroll multiple calendars, they all display the same date or time period.

In this exercise, you will create a new Calendar, and then view all the available Calendars at once.

USE the SBSCalendar data file in the practice file folder for this topic. This practice file is located in the  My Documents\Microsoft Press\Office 2003 SBS\Calendar folder and can also be accessed by clicking Start/All Programs/Microsoft Press/Microsoft Office System 2003 Step by Step .

BE SURE TO open the SBSCalendar data file before beginning this exercise.

  1. Display the practice Calendar.

  2. Click the down arrow to the right of the New button, and then click Folder in the drop-down list.

    The Create New Folder dialog box appears.

  3. In the Name box, type SBS Test Calendar .

  4. In the Folder contains drop-down list, click Calendar Items .

  5. In the Select where to place the folder box, click the SBS Calendar folder.

  6. Click OK .

    The new Calendar appears in the SBS Calendar data file.

  7. In the Navigation Pane , click the Calendar icon.

    The My Calendars list appears in the Navigation Pane, listing the available calendars. The Calendar in SBS Calendar check box is selected to indicate the calendar you are viewing.

  8. In the My Calendars list, select the Calendar check box.

    Outlook displays your main calendar and the practice calendar side by side.

  9. In the My Calendars list, select the SBS Test Calendar in SBS Calendars check box.

    Outlook displays the three calendars side by side. Colored stripes across the calendar names match the colors on the displayed calendars so you can tell which is which.

  10. In the Date Navigator, click a bold date to find a day with a scheduled meeting or event.

  11. Drag the event from one calendar to the next to move it. Right-click and drag the event, and then click Copy on the shortcut menu.

  12. Clear the Calendar and SBS Test Calendar in SBS Calendar check boxes to display only the practice calendar.

BE SURE TO move any of your own appointments back to their original dates and times.
