If you are specified as the Coordinator for a folder, you have the ability to bypass or cancel the approval process. Selecting Bypass or Cancel has different implications, but either option ends the approval process. Bypass will automatically skip all remaining Approvers within the Approvers list and immediately approve the document for publishing. This feature can be used as an override when your Approvers are not being as responsive as your business requires. The Cancel process, on the other hand, immediately ends the approval process and returns the document back to checked-in status.

Bypassing Approval from the Workspace

To bypass the approval process, perform the following:

  1. From within the workspace, locate the desired document for which the approval process will be bypassed.

  2. Right-click the document, and then click Bypass Approval.

NOTE

You must have workspace Coordinator role privileges to bypass the approval process.


Bypassing Approval Within an Email Approval Request

If you are a Coordinator for a folder, the email-based approval request will also include the Bypass Approval and Cancel Publishing commands in addition to the standard options for Approve and Reject.

  1. From within the email notification request, click Bypass Approval.

  2. Click OK to bypass approval and complete the approval process.

If you are a Coordinator for a folder, the email document approval request will also include the Bypass Approval and Cancel Publishing commands in addition to the standard options for Approve and Reject.

Canceling the Approval Process from the Workspace or Dashboard Site

It might become necessary to cancel the approval process, for example if a document needs to be completely reworked by the author (perhaps based on initial feedback from other Approvers). In this case

  1. In the workspace, locate the desired document.

  2. Right-click the document and then click Cancel Publishing.

  3. Click Yes.

Within an email approval request, you can do the following to cancel the approval process.

  1. From within the email notification request, click Cancel Publishing.

  2. Click OK to end the approval process and return the document back to an unpublished status.
