Creating an Email Template

You can create an email template from any Outlook item, but you cannot use Microsoft Word as your email editor when creating Outlook templates. To disable Word as your email editor, select Tools, Options, Mail Format, and uncheck the box marked Use Microsoft Word to Edit Email Messages. Click OK to apply your changes. You're now ready to create a basic email template.

To illustrate this process, let's create an email template to email your supervisor a daily email report using the following steps:

  1. Open a new email message.

  2. Enter a subject and body for your email message.

  3. Use the To button to select your supervisor's name from your address book.

  4. Select File, Save As to display the Save As dialog box as seen in Figure 20.1.

  5. Type a name for your template.

  6. Use the Save As Type drop-down list to select Outlook Template as the file type.

  7. Once you select Outlook Template as the file type, Outlook changes the location of your template to Microsoft's Templates folder. Do not change the location of your saved template or Outlook won't be able to find your template.

  8. Click Save.

  9. Close your newly created template. You don't need to save changes.
