Spreadsheets are the electronic version of the familiar accounting balance sheet. Module 4 introduces you to the basic spreadsheet operations.

  1. You store numbers , text, formulas, and graphs in a spreadsheet. A spreadsheet is the entire file. A worksheet is the individual two-dimensional sheet you see at any given time.

  2. Excel tries to determine an entry's data type. To force a text entry, preface the entry with a single quotation mark (').

  3. To insert a new row, right-click the row header and select Insert Row; Excel inserts the row above the currently selected row. To insert a new column, right-click a column header and select Insert. Excel inserts the new column to the left of the currently selected column.

  4. Formulas and functions evaluate entries. Preface each formula or function with an equal sign (=). For instance, the formula =A1+A2 would add the two values in cells A1 and A2. Function =Sum(A1:A2) would also get the same results.

  5. Formulas and functions sometimes return error values instead of the expected values. The following are error values you might encounter:

    Data is too wide to display.

    #VALUE!

    A cell doesn't have an appropriate value for the entered formula.

    #DIV/0!

    You attempted to divide by zero.

    # NAME ?

    Excel doesn't recognize some text in a formula.

    #N/A

    A value is not available.

    #REF!

    A cell reference doesn't point to anything.

    #NUM!

    You used an invalid number.

    #NULL!

    A range reference doesn't return any cells.


  6. There are two types of cell references, absolute and relative. An absolute cell reference isn't adjusted when you copy it; a relative cell reference is adjusted.

  7. You can apply formats that determine how data is displayed, which font is used, and the color of the spreadsheet and data. To apply a format to determine how data is displayed, right-click the cells and choose Format Cells. Then, click the appropriate tab and formatting option.

  8. Excel can turn data into charts for visual impact. To create a chart, select the data and click the Chart Wizard button to get started. The following are ways to work with existing charts .

    • To duplicate a chart, click on the chart to select it and press Ctrl+C. Then, click anywhere on the worksheet, on another worksheet in the same spreadsheet, or in any other open spreadsheet and press Ctrl+V.

    • To move a chart to a different position in the same worksheet, click on the chart and hold the mouse button down. Drag the chart to its new position and release the mouse button.

    • To move a chart to another worksheet or spreadsheet, click on the chart to select it and press Ctrl+X. Then, click anywhere on the worksheet, on another worksheet in the same spreadsheet, or in any other open spreadsheet and press Ctrl+V.

    • To resize a chart, click on the chart to select it. Then, drag any of the grips to expand or contract the chart.

    • To delete a chart, click on the chart to select it. Then, press the Del key.

  9. You can print a header or footer at the top or bottom of each sheet, respectively. To insert custom text in a header or footer, click the Custom Header or Custom Footer button. Use the buttons in the resulting dialog box to insert text, a page number, the total number of pages, the date and time, or the file or worksheet name.

  10. To print your worksheet, select Print from the File menu. But you need to know what to select what you want to print:

    • To print a cell range, select the cell range and then select File, Print Area, Set Print Area. Select Print from the File menu and click OK.

    • To print an entire worksheet, first clear any print area by selecting File, Print Area, Clear Print Area. Then, select Print from the File menu and click OK.

    • To print multiple copies of a worksheet, select Print from the File menu. Enter the number of copies in the Print dialog box and click OK.

    • To print a selected chart, select the chart and then select Print from the File menu. Click OK.
