Securing a Workbook

You will probably want to be sure that no one can either by accident or intentionally make unauthorized changes to your data. Excel provides protection at several different levels including protecting the worksheet, specific cells of the worksheet, or the entire workbook.

Protecting a Worksheet

You can protect your work at the worksheet level by allowing others to view but not edit the worksheet without a password. Protecting a worksheet prevents others from changing data or changing formatting.

NOTE

When protecting a worksheet, Excel assumes all cells are to be locked. You'll learn later in this chapter how to unlock specific cells.

NOTE

You do not have to assign a password; however, without a password, users will only have to return to the Protect Sheet dialog box and remove the check mark to edit the worksheet.

Removing Worksheet Protection

If you no longer want to protect your worksheet, you can easily remove the protection. You cannot remove password protection without the password.

NOTE

If you did not assign a password, the Unprotect Sheet dialog box will not appear. The sheet will simply become unprotected .

Unprotecting Specific Worksheet Cells

You may have a worksheet where you only want yourself or others to enter data in specific cells and to not have access to formulas or other definite data. You can designate the cells you want editable and leave the remainder of the worksheet protected.

NOTE

Make sure the worksheet is not protected before you proceed with these steps.

You must now protect the worksheet as you learned in an earlier section, "Protecting a Worksheet."

The cells you flagged are the only cells a user can edit without removing worksheet protection.

Preventing Others from Opening a Workbook

Another method to protect your workbook is a password to keep others from even opening the workbook. You can also apply a password to allow them to view it but not make any changes, anywhere in the entire workbook. This type of password protection, called file level protection, is accomplished through the Save As dialog box.

Excel provides two levels of password protection. You can use either or both password options.

The Password to open box prevents unauthorized users from opening the workbook.

NOTE

To remove file passwords, repeat the above steps, but leave the password boxes empty.
