Tracking Multiple Schedules


You can record the schedules for several people and/or projects on separate calendars. Then you can compare the calendars to see whether there are any scheduling conflicts or, alternatively, when you might actually have a little free time.

Create Multiple Calendars

If Windows Calendar isn't already running, start it from the Start menu. Choose New Calendar from th File menu to create a calendar for another person or project, and enter a descriptive name for the calendar.

Clear the check boxes for all your other calendars, and verify that the check box for the calendar to which you want to add entries is selected.

Choose an identifying color for calendar items.

Create the appointments and tasks for that calendar.

Repeat steps 1 through 4 for any additional calendars you want to create.

Try This!

Create several calendars. Choose New Group from the File menu, and name the group. In the Calendars section, drag a calendar onto the new group. Drag additional calendars onto the new group. Use the check boxes to show or hide the entire group or the individual calendars within the group.


Compare Calendars

Select the check box for each calendar you want to view, and clear the check boxes for the calendars you don't want to look at.

Click a different day if you want to compare appointments for that day, or change the view to see more than one day.

If you can't distinguish which calendar is associated with which appointments, click a calendar and change the color of the appointments. (Just make sure you don't select a color that's being used in another calendar.)

If you want to see the details of an appointment, click the appointment, and then read the details in the Details pane.

Examine the tasks that are listed. Each task is color coded, using the same color as the calendar color.

When you've finished, clear the check boxes for the calendars you no longer want to view.
