Creating a Contact

A contact is a person or company with whom you want to communicate. One contact can have several mailing addresses, various phone and fax numbers , e-mail addresses, and Web sites. You can store all this data in the Contacts folder along with more detailed information, such as job titles, birthdays, and anniversaries. When you double-click a contact, you open a dialog box in which you can edit the detailed contact information. You can also directly edit the contact information from within the Contacts folder. If you send the same e-mail message to more than one person, you can group contacts together into a distribution list.

Create a Contact

Click the Contacts button, and then click the New button on the Outlook toolbar.

Type the contact's first and last name in the Full Name box.

Type as much information as you know about the contact in the appropriate boxes on the General tab.

Click the Details tab, and then type as much information as you know in the appropriate boxes.

Click the Save And Close button.

Open and Update an Existing Contact

Click the Contacts button on the Navigation pane.

Double-click the contact you want to update.

Use the normal editing commands to update the information.

Click the Save And Close button.

Change Contacts Views

Click the Contacts button on the Navigation pane.

Click a view option button.

  • Detailed Address Cards

  • Phone List

  • By Category

  • By Company

  • By Location

  • By Follow-Up Flag

To customize the current view, click Customize Current View.

Did You Know?

You can find a contact quickly . Click Contacts on the Navigation pane, and then start typing the name of the contact you want to find. The contact that best matches the text is displayed.

You can delete a contact . Click Contacts on the Navigation pane, click the contact you want to delete, and then click the Delete button on the Standard toolbar. Any journal entries that refer to that contact remain intact.
