Working with Outlines


Word s Outline view is a powerful tool for creating, organizing, and editing long or complex documents. Most users use the mouse extensively when working in Outline view, but if you re creating an outline, using the keyboard tends to be much faster.

Shortcuts for Working with Outlines

Apply Outline view

[Ctrl] - [Alt] - [O]

Display Outline Level 1 “9

[Alt] - [Shift] - [1] to [Alt] - [Shift] - [9]

Press [Alt] - [Shift] and the appropriate number for the number of heading levels you want to display. For example, press [Alt] - [Shift] - [1] to display Outline Level 1 paragraphs only, [Alt] - [Shift] - [2] to display up to Outline Level 2 paragraphs, and [Alt] - [Shift] - [9] to display up to Outline Level 9 paragraphs.

Collapse the lowest subtext in the selection

[Alt] - [_] , [Alt] - [Shift] - [-]

On a typical keyboard, these shortcuts are the same, because the underscore is the shifted version of the hyphen key. Select the heading you want to affect, hold down [Alt] - [Shift] , and press the hyphen key repeatedly to collapse each lowest level of the selection in turn .

Expand the next level of subtext in the selection

[Alt] - [+] , [Alt] - [Shift] - [+] on the numeric keypad

Select the heading you want to affect, hold down [Alt] - [Shift] , and press the plus key once for each outline level you want to expand.

Move the selection down one item in the outline

[Alt] - [Shift] - [ ]

Select one or more contiguous items, and then press this shortcut to move the selection down one displayed item at a time. (For example, if you have expanded the section of the outline you re working in to show Level 3 items, each press of this shortcut moves the selection down one Level 3 item, one Level 2 item, or one Level 1 item ”whichever is next in the displayed outline.)

This shortcut and the next tend to be much easier than dragging items with the mouse because they remove the chance of your changing the outline level of the item at the same time by dragging it to the left or the right.

Move the selection up one item in the outline

[Alt] - [Shift] - [ ]

Select one or more contiguous items, and then press this shortcut to move the selection up one displayed item at a time. (See the previous description for more details.)

Toggle the outline between displaying the first line of each paragraph and the full text of each paragraph

[Alt] - [Shift] - [L]

This shortcut is the equivalent of clicking the Show First Line Only button on the Outlining toolbar.

Toggle the display of all headings and body text

[Alt] - [Shift] - [A]

This shortcut is the equivalent of selecting the Show All Levels item in the Show Level drop-down list (in Word 2003 and Word XP) or clicking the Show All Headings button on the Outlining toolbar in Word 2003.

Promote the selection by one heading level

[Alt] - [Shift] - [ ] , [Shift] - [Tab]

These shortcuts are the equivalent of clicking the Promote button.

Demote the selection by one heading level

[Alt] - [Shift] - [ ] , [Tab]

These shortcuts are the equivalent of clicking the Demote button.
